WHO THIS COVERS
Scope of This Policy
This Privacy Policy describes how RLY Insurance Group LLC ("RLY Insurance Group," "we," "us," or "our") collects, uses, discloses, and protects personal information. It applies to information collected through this website, through our quote and referral forms, by telephone, text message, and email, and in the course of providing insurance brokerage services to you.
RLY Insurance Group LLC is an independent insurance agency licensed in Florida, New York, North Carolina, and Texas. As an insurance agency, we are considered a "financial institution" under the federal Gramm-Leach-Bliley Act (GLBA), and the nonpublic personal information you provide to us is protected under that law as well as under applicable state insurance privacy regulations.
WHAT WE COLLECT
The information we collect depends on what you ask us to do. A general question requires almost nothing; an accurate homeowners or auto quote requires a good deal more, because carriers underwrite and price on these specific details.
Information you provide directly. When you submit a quote request, a referral, or otherwise contact us, we may collect:
- Name, mailing address, email address, and telephone numbers
- Date of birth for you and, where applicable, your spouse
- Names and dates of birth of household drivers to be listed on an auto policy
- Driver's license numbers, vehicle identification numbers, and vehicle details
- Property details, including construction year, roof age, square footage, and prior renovations
- Current and prior insurance coverage, carriers, premiums, and claims history
- Inspection documents you send us, such as Wind Mitigation and 4-Point Inspection reports
- Mortgage or lienholder information required to issue a policy
- Social Security number, where a carrier requires it for underwriting or identity verification
Information we obtain from third parties. To quote and service coverage accurately, we and the carriers we submit to may obtain information about you from consumer reporting agencies and industry databases. This commonly includes motor vehicle records, loss history reports such as C.L.U.E., credit-based insurance scores where permitted by state law, property characteristic data, and flood zone and elevation data tied to your address. Insurance carriers may obtain this information directly in connection with your application, as disclosed in their own notices.
Information collected automatically. Our website is hosted on Cloudflare and uses Cloudflare Web Analytics to understand aggregate traffic patterns. This may involve limited technical information such as IP address, browser type, device type, referring page, and pages viewed. We do not use this information to build advertising profiles, and we do not run third-party advertising or behavioral tracking networks on this site. Our hosting and security provider may set limited technical cookies necessary to operate the site and protect it from abuse.
HOW WE USE YOUR INFORMATION
We use personal information to do the work you have asked us to do, and for the legal and regulatory obligations that come with it. Specifically, we use it to:
- Prepare, compare, and present insurance quotes across the carriers we represent
- Submit applications and place, bind, and issue coverage
- Service your policies, including endorsements, renewals, cancellations, and re-marketing at renewal
- Assist you with claims and advocate on your behalf with carriers and adjusters
- Communicate with you by phone, text message, and email about your coverage
- Respond to your questions and fulfill your requests
- Comply with applicable insurance laws, licensing requirements, and recordkeeping obligations
- Detect and prevent fraud, and protect our rights and the rights of our clients
WHO WE SHARE IT WITH
Insurance placement does not work without sharing information. The point of an independent agency is that your information goes to many carriers rather than one, so that they compete for your business. We disclose personal information only as follows:
- Insurance carriers, wholesalers, and managing general agents — to obtain quotes, submit applications, bind and service coverage, and support claims. Each carrier maintains its own privacy practices and will provide you with its own privacy notice.
- Premium finance companies — where you choose to finance your premium.
- Inspection and underwriting vendors — where a carrier requires an inspection or verification as a condition of coverage.
- Mortgage lenders and lienholders — to provide evidence of insurance where required.
- Service providers that operate our business — including our website host (Cloudflare), our web form processor (Web3Forms), our appointment scheduling service (Calendly), our email provider, and our agency management and comparative rating systems. These providers may process your information only to perform services for us.
- Regulators, law enforcement, and legal process — where required by law, subpoena, or regulatory examination, or to establish or defend legal claims.
- Referral sources — if you were referred to us by a realtor, lender, or other professional, we may confirm to that person that we have contacted you and whether coverage was placed. We do not share the substance of your application, your financial details, or your claims history with a referral source.
WHAT WE DO NOT DO
We do not sell your personal information. We do not rent, trade, or otherwise provide your personal information to third parties for their own independent marketing purposes. We do not share your information with data brokers, lead aggregators, or advertising networks. The information you give us is used to place and service your insurance, and for no other commercial purpose.
COMMUNICATIONS AND YOUR CONSENT
When you provide a telephone number and submit a quote request, you are asking us to contact you about insurance, and you consent to our contacting you at that number by call or text message, including by automated means where applicable. Message and data rates may apply. You may opt out of text messages at any time by replying STOP, or opt out of marketing email by using the unsubscribe mechanism in the message or by contacting us directly.
Please note that even if you opt out of marketing communications, we will still need to contact you about active policies, renewals, cancellations, claims, and other servicing matters. Those are not marketing messages and are a necessary part of the service you have engaged us to provide.
SENDING US SENSITIVE DOCUMENTS
Standard email is not a secure method of transmission. If you need to send us documents containing a Social Security number, driver's license number, or other sensitive identifiers, please call us first and we will arrange a secure method. Our web forms transmit over an encrypted connection, but we ask that you not include a Social Security number in any website form field.
HOW WE PROTECT INFORMATION
We maintain physical, electronic, and procedural safeguards designed to protect nonpublic personal information, consistent with the Gramm-Leach-Bliley Act and applicable state requirements. Our website is served over an encrypted HTTPS connection. Access to client information is limited to those who need it to provide services to you. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
HOW LONG WE KEEP IT
We retain personal information for as long as necessary to provide services to you and to meet the recordkeeping obligations that apply to licensed insurance agencies in the states where we do business. Retention periods vary by state and by record type and commonly extend for several years after a policy ends. We retain information longer where required for legal, regulatory, audit, or dispute-resolution purposes.
YOUR CHOICES AND RIGHTS
You may request access to the personal information we hold about you, ask us to correct information that is inaccurate, ask us to delete information we are not legally required to retain, or opt out of marketing communications. To make any of these requests, contact us using the information below. We may need to verify your identity before responding, and we may be unable to honor a deletion request where insurance recordkeeping law requires us to retain the record.
Residents of certain states, including Florida, Texas, and New York, may have additional rights under state privacy or insurance information laws. Note that much of the information we hold is nonpublic personal information governed by the Gramm-Leach-Bliley Act, which is generally exempt from state consumer privacy statutes; we will apply whichever protections give you the greater benefit. We do not discriminate against anyone for exercising a privacy right.
CHILDREN
This website is intended for adults seeking insurance. We do not knowingly collect personal information directly from children under 16. We may collect information about minor household members — such as a teenage driver to be rated on an auto policy — but that information is provided by a parent or guardian in connection with an insurance application.
OTHER WEBSITES
This site links to third-party websites and services, including Calendly for appointment scheduling and the websites of insurance carriers. Those services have their own privacy policies, and we are not responsible for their practices. We encourage you to read the privacy notice of any site you provide information to.
CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. Material changes will be reflected here, and your continued use of this website or our services after a change indicates your acceptance of the updated policy.
HOW TO REACH US
If you have questions about this Privacy Policy, want to exercise a privacy right, or believe your information has been handled improperly, please contact us directly. You will reach a real person.
